Operations

Wednesday 14th May

  • Containers grounding
  • 9pm – Staff meeting at hotel

Thursday 15th May

  • 7am – Floor marking and unloading starts
  • 7am – Breakfast starts at hotel
  • 9am – HYROX event team on site
  • 11am – Measure running track – Mat
  • 12:00pm – Lunch – Volunteer room
  • 6pm – Staff offsite

Friday 16th May

  • 7am – Breakfast starts at hotel
  • 7am – Doors open for set up
  • 8am – HYROX Event team on site
  • 12:00pm – Lunch – Volunteer room
  • 1pm – HYROX Sports team on site
  • 2pm – Concept2 to come and maintain the equipment
  • 3pm – 5:00pm – Walk through RD, ED, BD exact time to be decided by BD
  • 6pm – Dinner – Volunteer room for build crew/labourers race office for staff
  • 7pm – Live Instagram walk through Carlos & Hansol
  • 8:00pm – 9:00pm –  Final check of all areas exact time to be decided by BD

Saturday 17th May 

  • 7:00 am – Breakfast at the hotel
  • 8:00 am – All staff onsite
  • 8:00 am – Volunteers arrive
  • 8:45 am – Soft registration starts
  • 9:45 am – ‘Go or No Go’ RD’s and ED’s
  • 10:00 am – First wave starts
  • 11:30 am – Lunch
  • 5:30 pm – Dinner
  • – Relay set up and management of relay – Richard, Heewoo, Jay + build crew

  •  – Last finisher expected

Sunday 18th May

  • 4pm – Pack down finished and containers start to be removed from the venue

4 Whatsapp groups have been created and you will have been added into a group accordingly.

  • South Korea HYROX event team – ED, RD’s Registration, Marketing, MC’s, Build & Ops, Race Office & Sponsorship
  • Asia HYROX Timing Group -ED, RD’s Registration,  MC’s, MIKA & Race Office
  • Head Judges group – ED’s & Head Judges
  • Medical team – ED’s, RD’s & Medical team

During build days and on event days radios will be assigned to you and it is your responsibility to sign out and sign back in your radio with the race office manager.

During the build days all staff are to use channel 1.

During the event day there will be 2 channels and staff are required to be on that channel during the event as follows:

No site inductions are required but hard hats and high vis vests must be worn at all times during bump in and bump out days.

There are 2 first aiders on site and 10 paramedics on site.

There is 1 first aid point on site one next to the burpee’s.

The first aid team will be equipped with radios and will operate on channel 1.

As a member of staff it is your responsibility to report to the medical team if you see any medical issues following the below standard operating procedure.

Please bring with you your previous event t-shirt and shorts to the race. If you have not been given the below items before we will provide you with uniform please contact Sam to ensure you have uniform.

Contractors can deliver to the following address between the dates and times shown:

  • Delivery Time Window – Thursday 15th May – Friday 16th May between 9am – 6pm

Sponsors can deliver to the following address between the dates and times shown:

  • Delivery Address – 123 Central-ro, Yeonsu-gu, Incheon, South Korea
  • Delivery Time Window – Friday 16th May between 9am – 6pm

Venue Access Requirements:

  • Purple wrist bands
  • High Vis Jackets
  • Closed toe shoes

Bump In Times are as follows:

  • Thursday 15th May 8am – 6pm & Friday 16th May 8am – 6pm
  • Access is via entrance of hall 3

Facilities availability during bump in:

  • Forklifts & drivers will be available
  • Pump trucks will be available
  • Electrical power will be available
  • WC’s will be available onsite

Bump out with start from 8am on May 18th.

We will recieve 30 free parking tickets on Friday and Saturday, should you require parking please contact Heewoo.

If all parking spots are taken then you can park for 10,000 KRW for a full day.

For first aid assistance, paramedics are stationed within the venue, and a first aid room is located between Hall 2 and Hall 3.
